As per WBHIDCO Rules : No Baggage / Luggage / Laptop Bag / Laptop is permissible inside the venue. Small wallets and small ladies purse allowed only.

Guidelines

The Convocation of Amity University Kolkata for the students who have successfully completed their Academic Programmes in 2023 will be held on Tuesday, 20th February 2024 at Biswa Bangla Convention Centre, New town, Kolkata.

On Line Registration – cum Confirmation

All students are advised to register on-line at www.amity.edu/kolkata/convocation on or before 12:00 midnight, Monday, 5 February 2024 in addition to sending their confirmation to the Institution. The students who do not register on time will not be permitted to attend the Convocation.

The payment gateway for gown purchase (Optional) or Rental and Degree Dispatch has been made available on your Convocation registration page and also for receiving of degree in case you are not attending the Convocation. This is mandatory as the online registration process will not be completed till online payment has been made. Entry to Campus on the day of Convocation will only be permitted for students who have completed the online registration process including online payment.

The Recipients who are not able to attend the Convocation and wish to have their degrees in absentia are required to:

A) for Collection of Degree through Courier/Registered Post

  1. Submit online request for the same at http://www.amity.edu/kolkata/convocation
  2. Pay a fee of Rs. 1000/- to the University for address in India and Rs. 3500/- for address outside India.
  3. Provide complete and correct postal address on which Degree can be dispatched.

B) for Collection in Person

  1. Pay a fee of Rs. 1000/- to the University.
  2. Collect the Degree in person from Examination Department after the Convocation. Degree will not be handed over to any person other than the student.
Register

Venue- Biswa Bangla Convention Centre, New town, Kolkata

Following instructions are to be strictly followed in the Convocation

Dress Recipients are advised to dress in formals for the Convocation as indicated below:
Gents :
Lounge Suit/ combination with a tie, black shoes and socks.
Ladies :
Saree/ Suit/Western(Jacket/Trousers with tie)
Those not formally dressed will not be permitted to participate.
Guests
  • The Recipient of the degree is allowed to bring maximum of two guests.
  • Only parents, blood relations (brother/sister) or spouse of recipients are allowed.
  • Children below 15 years of age are not allowed.
  • Formal dress code will also apply to guests.
Participation
  • Students whose confirmations are not received by 5 February 2024 will not be allowed to attend the Convocation.
  • Students who have confirmed, are required to report/register at the stipulated time as given in programme schedule.
  • Detailed instructions on the Conduct of the Convocation will be issued separately at the time of the registration also.
Convocation Gowns / Caps
  • All Recipients will be issued gowns and caps at the designated venue and they are required to wear it throughout the function.
  • Gowns and caps must be returned after the Convocation on the same day to the gown issuing counter and the return to be marked online for refund of gown security.
Timings
  • The Recipients of the degrees, after registration by the stipulated time, are to be seated in the Convocation Hall latest by 10.00 AM for rehearsal and Instructions.
  • Once seated, there will be no unnecessary movements in the Convocation Hall and perfect discipline is to be maintained.
  • The Recipients must not leave the Convocation Hall before the function is over and the Academic Procession has left the Hall.
  • The Recipients should make their travel plans keeping in mind that the Convocation may not be over before 7.00 PM.
Procession All present in the Convocation Hall must rise when the Academic Procession enters and when the Academic Procession leaves the Hall.
Refreshment Refreshments will be served before the Convocation and lunch will be served after the Main Convocation.
Degrees/ Grade Cards/ Value
Addition Courses Certificates
The Degrees, Grade Cards and Value Addition Certificates will be presented by the respective HoIs at designated degree distribution venues.
Photography
  • Photography facility will be available for the graduands if they wish to get themselves photographed.
  • Graduands can make payment to the Account’s Counter available in Photography enclosure. The Photographs will be handed over instantly.




The degree distribution will start from 2:30 PM at the designated venue. Therefore, you are advised to be seated at your designated seat latest by 2:45 PM.

High Tea

  • High tea will be served in the evening from 5:00 PM onwards at the designated venue after the Degree Distribution Ceremony.
  • The reporting time for the Convocation is 8:30 AM.at Biswa Bangla Convention Centre, New town, Kolkata
  • All Graduands advised to move to Biswa Bangla Convention Venue, New town, Main Hall Entry Gate and show their Confirmation Slip for the entry to Convocation Hall. No Graduand will be allowed to enter the Convocation Hall without the Confirmation Slip.
  • All Graduands are requested to reach the Convocation Venue in time. However, recipients who have registered but reported late after closing of registration, should report to the Late Comers Venue for issue of gowns.
  • Please submit the printout of Confirmation/Registration slip at the Counter. There will be faculty/staff to assist you.
  • You will be provided refreshment/lunch coupon and convocation I-cards for self and the registered guests. Lunch will be served at the Biswa Bangla Convention Centre, New town between 12:45 PM – 2:15 PM. High tea will be served in the evening from 4:30 PM onwards at respective venue after the Degree Distribution Ceremony. You may use your refreshment/lunch coupon at the hospitality enclosure earmarked for your respective institution.
  • Please take special care of your parents & guests accompanying you.
  • You will be allowed to attend the Degree Distribution Ceremony where you will be given your Degree only if you have collected your Gown.
  • You can collect your Gown from the Gown Counter on submission of print out of Online Gown Security Rental form. In case you have paid online for gown purchase you may collect your new gown from the gown counter on submission of print out of Online Gown Purchase form.
  • After the Degree Distribution Ceremony, you will return the Gown at the Gown Counter of your respective institution. Refund of security deposit will be processed online within one month (Subject to loss of item, if any) after deduction of Gown Rent of Rs. 100/-.
  • Photographers will be available after Degree Distribution Ceremony in Biswa Bangla Convention Venue.
  • You may get your photograph clicked after making an on the spot payment for the same after Degree distribution ceremony. Photograph will be handed over instantly.
  • For any help please contact the faculty members available at the Convocation venue till lunch time. Thereafter, you may contact your faculty at the venue of degree distribution ceremony.

Institution Counters

There are various counters (institution specific) for Registration, Issue of Gowns & Caps as under:

  • Please report at the designated Counter of your Institution.
  • In case you want to keep your baggage in safe custody, the same can be deposited at counters – C, D
  • In case there are any outstanding dues to be paid, the same can be cleared at the counter E

Convocation Gowns & Caps

Rental of Gowns & Caps.

  • Gown Security Form must be retained by you till the end of the Convocation.
  • After the Convocation is over, please ensure that you return the Complete Gown Set at the Designated Institution Counter by signing & presenting the GSR (Gown Security Rental) Form. Institution representative (after receiving/verifying all the three items of Gown set), will sign the Form & put stamp on it & will return it to you.
  • Refund of security deposit will be processed online within one month (Subject to loss of item, if any).
  • If you have lost the gown or any part of your Gown Set, its cost will be deducted from the security deposit as per the following break up:
      • Complete Gown – Rs. 1000/-
      • Gown – Rs. 700/-
      • Hood – Rs. 200/-
      • Cap – Rs. 100/-.

Hospitality

  • While you are collecting the gown, your parents/guests may proceed to the Hospitality Area & you may join them later.
  • After the Main Convocation, lunch will be served to graduands and their guests in Biswa Bangla Convention Centre, New town between 12.45pm to 2.15 pm.

Photography

  • Group photographs of all the Recipients of Awards  will be taken at Biswa Bangla Convention Centre, New town (Main Hall-Pre Function area)  at 1.25pm. Please wear your Gown & Cap for Group Photograph. For any guidance contact your faculty coordinator.
  • Photographers are available before and after the convocation in the enclosure marked as Photo Booth near the Registration Counters. You may get your photograph clicked after making the payment of Rs.150 + GST / - only. The photographs will be delivered instantly to you.
