My Dear Amitian,

Welcome to your own Amity University Campus for your Convocation. Please study the following guidelines carefully, which will be helpful to you. In order to maintain the solemnity and dignity of the convocation, which is a formal function, you are requested to please co-operate and comply with the guidelines and instructions given below:

You are required to show your Confirmation Slip for entry to the campus through Gate No.1, Gate No.2A and Gate No.4. In case you do not have the same, please take a printout from the IT Support Counters located at Gate No.1, Gate No.2A and Gate No.4.

Please ensure that you have a printout of the Gown Security Rental Form / Gown Purchase Form & Degree Receipt. In case the same is not available, you are requested to get the printout of these also from the IT Support Counters.

Punctuality

  • You will be permitted to attend the Convocation & the Degree/Diploma Distribution Ceremony (DDC) only if you have confirmed online and registered at the venue as per the schedule given above.
  • Convocation is a very solemn occasion, therefore maintaining decorum and punctuality is must.
  • You are requested to finish all the activities such as Registration, Gown Security & Rental slip deposit, Gown Collection, Photography at Photo booth, Refreshments etc., quickly in order to be seated at the respective seating area in convocation hall on time.
  • If a Graduand leaves the venue at any time before the Convocation & Degree distribution ceremony is over, he/she will not be permitted to enter the campus again.

Registration

  • Registration is open from 9.00am to 10.45am. Please report at the designated Counter of your Institution.
  • The Graduands who fulfill the following criteria, will only be registered:
    • Have no pending dues
    • Meet the Passing Criteria
    • Have confirmed on-line participation in the Convocation
  • You have to register / report at the counter marked for your respective Institution along with your pre-confirmed guests. Unconfirmed graduands and guests are not permitted for registration.
  • Please submit the printout of confirmation / registration slip, Gown Purchase Form / Gown Security Rental Form at the Registration counter of your institution & ensure that you have collected the following:
    • Convocation ID Card - Put it around your neck all the time, while you are at the Venue.
    • Convocation ID Cards for your confirmed Guests only- Please advise them also to wear it around the neck.
    • Signed Gown Security & Rental Form (GSR Form) – Please retain the form till you return the Gown.
    • Signed Gown Purchase Form – Please collect the Gown from the designated Gown Counter
    • Refreshment Coupons for self and guests
    • Seating Plan for Degree Distribution Ceremony

Convocation Gowns & Caps

I. Rental of Gowns & Caps.

  • You are requested to submit the printout of Part-I of Online Gown Security & Rental Form to Registration Counter.
  • After registration, you will be issued the Complete Gown Set as per your Degree / Diploma & will sign the form. You are also required to sign the form for acknowledging the same.
  • Gown Security Form must be retained by you till the end of the Convocation.
  • After the Convocation is over, please ensure that you return the Complete Gown Set at the Institution Counter by signing & presenting the GSR Form. Institution representative (after receiving/verifying all the three items of Gown set), will sign the Form & put stamp on it & will return it to you.
  • Refund of security deposit will be processed online within one month (Subject to loss of item, if any).
  • If you have lost the gown or any part of your Gown Set, its cost will be deducted from the security deposit as per the following break up:
    • Complete Gown – Rs. 1000/-
    • Gown – Rs. 700/-
    • Hood – Rs. 200/-
    • Cap – Rs. 100/-.

II. Purchase of Gowns & Caps

  • You are requested to submit the printout of Part-I of Online Gown Purchase Form and get it signed by the Institution Representative at the Registration Counter. Thereafter please move immediately to Gown Purchase Counter for receiving the complete Gown set as under:

Seating in the Convocation Hall (Main Ground)

  • The Entry Gates to the Convocation Hall will open at 10:00am. Please proceed to the Convocation Hall after you have collected your Gown.
  • The seating arrangements for Parents / Guests are in the reserved areas duly marked in the front of the Hall.
  • Seating Plan for the Graduands is as per the Doctoral, PG, UG & Diploma programmes.
  • All the winners of Medals/Awards will be seated in the designated area separately.
  • Proctors and faculty members from your University will be there to help you.
  • By 11.00am you and your guests are requested to be seated in the designated areas in the Convocation Hall for briefing followed by Convocation.
  • Briefing and Rehearsal of graduands will be done from 11.00am -11.15am

Convocation - Conferring of Degree/Diploma

  • Convocation Proceedings will commence at 11.20 am after the Academic Procession has entered the Hall.
  • Please rise when the Academic Procession enters the Hall and remain standing till the members of the procession take their seat on the stage.
  • You are requested to maintain complete silence during the convocation proceedings since it is a very solemn occasion. Please do not throw your caps in the air while you are seated in the Convocation Hall and maintain decorum.
  • Please keep your mobiles switched off during the entire proceedings.
  • Please rise for the National Anthem.
  • Please rise again when Convocation proceedings are over and the Academic Procession is leaving the Hall and remain so till the Procession has left the Hall.
  • You are requested to move out of the Convocation Hall from the earmarked “EXIT’ only.
  • Please clap during the various addresses / speeches, presentation of awards, medals, trophies and conferring of Honorary degree etc.

Hospitality

  • While you are collecting the gown, your parents/guests may proceed to the Hospitality Area & you may join them later.
  • After the convocation, lunch will be served to graduands and their guests at the following venues between 1.30pm to 2.15pm.

  • Tea will be served in the evening after the Degree Distribution Ceremony at the Hospitality Area in Main Ground.
  • Use washroom if needed, since you will have to remain inside the Convocation Hall till the end. Washrooms are located in Blocks C, D, E1, E2, E3, F1, F2, F3, I2, J2,Swimming Pool Complex and hospitality area.
  • Please take special care of your parents/guests accompanying you.

Degree/Diploma Distribution Ceremony (DDC)

  • The Presentation of Degree / Diploma, Marksheets and Certificates of various institutions will be held at different venues as under.

Location Route Map of Venues

The Location Route Map of Venues is given as Annexure-I

  • After the Convocation is over, you may proceed for lunch at the venue designated for your institution.
  • After Lunch you are requested to please be seated in the designated seat for the Degree/Diploma Distribution Ceremony latest by 2.15 pm.
  • You must sign the Attendance Sheet before entering the venue.
  • Your name will be called according to the sequence of your enrolment number. You must line up in sequence to collect your degree.
  • You must submit the Degree/Diploma Receipt to the Faculty Co-ordinator before proceeding on stage for Degree / Diploma Collection.
  • After the DDC is over, you are requested to return the Gown at the Counter of your institution at the Main Convocation Venue.
  • Thereafter, you are requested to proceed for Tea along with your parents/guests in the main Hospitality Area.

Photography

  • Photographers are available before and after the convocation in the enclosure marked as Photo Booth near the Gown Counter. You may get your photograph clicked after making on the spot payment of Rs.150/- only for the same. The photographs will be delivered instantly to you.
  • The photographs of Convocation will be uploaded on the Convocation website within a week of the Convocation held.
